ShoreTel Overview

The ShoreTel system is a completely distributed, scalable solution layered on the IP network with no single point of failure. At the heart of the system is a call control architecture that distributes call management functions to intelligent gateways—called voice switches—anywhere on the IP network. ShoreTel architecture distributes voice applications—including voicemail and automated attendant—to servers across locations, rather than centralizing applications at the network core. The resulting solution provides a single-image system for all locations and all voice applications. Gone are the days of multiple PBXs, multiple voice mail systems, multiple automated attendants, and multiple ACD systems—all with their unique management interfaces. The ShoreTel system is distributed, the voice applications are integrated, and the management interface is best in class.

The ShoreTel system provides integrated messaging for any PC desktop, as well as unified messaging with Microsoft Outlook. This includes voice mail in your inbox, directory dialing using your contacts, contact screen pop, and calendar integration. Voice mail messages are stored in the industry-standard WAV Audio for Windows format, allowing you to play them on multimedia PCs, attach them to email messages or embed them in other documents.
The ShoreWare Voice Mail service is provided as a standard for all users. It requires no additional hardware, consumes no ports, and storage is limited only by the size of the server hard disk. In multi-site configurations, voice mail servers can be distributed at larger locations to provide survivable voice mail as well as save valuable WAN bandwidth. The voice mail system supports up to 10,000 mailboxes and features multi-lingual support for US English, UK English, Spain Spanish and France French.
The powerful Follow Me Find Me feature allows calling parties the option find you on your cell phone. If you do not answer, the system will pull the call back and the message will be left on the ShoreTel voice mail system.
Using the message notification feature, users can be notified via email, cell phone or pager when a message has arrived without having to call in constantly to check if new messages have arrived.
With a wide array of call forwarding and personal greeting modes, a business can present a highly professional image. Users can easily program customized responses to meet their individual needs. With just a mouse click they select from an array of call handling options to manage incoming calls when in a meeting, working from home or out of town. Users can customize their greetings, forward calls to another number, specify how quickly voice mail picks up a call and be notified when a voice mail message is received
The ShoreWare Auto-Attendant service provides 24-hour automated call answering and routing to improve service and enhance your company's image for inbound callers. Outgoing prompts can be customized and linked to the time of day and/or day of week. Individual groups, like technical support and sales organizations, can have their own menus with unique greetings and options. Like the ShoreWare Voice Mail service, the ShoreWare Auto-Attendant service also consumes no physical ports and can be distributed at larger locations to save valuable WAN bandwidth.
Contact screens will automatically pop up on users’ PC with pertinent information about caller.
The ShoreTel system comes standard with ability to conference up to six numbers (this is scalable up to 96 conferees). In addition, the system allows users to instantly share documents with other parties during a call.
Businesses that choose ShoreTel maintenance receive software upgrades free as long as maintenance remains in effect.
Users can choose which number (their own DID number, or any number associated with that business) as their Caller ID number.
ShoreTel desktop productivity software transforms Microsoft Outlook into a multi-media communications center - giving users control over both voice and email messages. Your workers can initiate calls and check voice mail with the contact management software they are already using.
Key for customer service is knowing as much as possible about the calling party before you answer so you can tailor your service. With a complete call routing display, the operator gets the calling parties name, number, trunk information about where the call came, information about the number the calling party dialed (DNIS - Dialed Number Identification Service) - and more importantly - a complete history of how the call has traveled through the phone system (including how long the caller has been trying to get service). As a call comes in, the operator will see the call originally came into the auto-attendant, went to an employee that did not answer, went to voice mail and then was routed to the operator.
In addition to all the information about the calling party, the ShoreWare Operator Call Manager delivers presence information about each and every employee in the company - even across sites - allowing the operator to target the call correctly! This information is provided "Just-in-Time" during call transfer allowing operator will know if the employee is in the office or not, on the phone and to whom they are talking. The employee can even leave notes for the operator like "Traveling to the city, send calls to Bob today" or "On vacation, back on Monday".
Enabled with information about the calling party and the employee, the operator has multiple options to disposition the call including blind transfer, consultative transfer, intercom transfer, mailbox transfer and even barge-in and whisper.
The Extension monitor provides an "All-the-Time" view such that executive assistants, departmental assistants, receptionists and operators can deliver high-touch support to key personnel and their callers. Rather than just a rudimentary "light on, light off" associated with a "busy lamp field", the extension monitor enables the assistant to screen calls, drag and drop transfer, check status and even change the call handling of the executive.
Simultaneous, multi-location group paging makes it even more likely that callers will get connected to the right person in a timely fashion. It is more cost-effective and less disruptive than overhead paging systems, and it also works across multiple locations. “Whisper page” takes intercom and paging to a new level enabling a user (if granted the rights) to break into an ongoing conversation speeding communication. When a critical call arrives while an executive is on the phone, the assistant can privately alert the executive by “whisper page”—the caller on the other end is unaware and not interrupted.

ShoreTel Call Manager includes an optional SoftPhone desktop utility that delivers telephony capabilities to a user's PC. Knowledge workers no longer have to be tethered to a phone line to check voice mail or perform other telephony tasks.
Each Shoretel voice switch has a simple audio input to allow connection to one’s own music for music-on-hold feature. This also prevents using bandwidth across a WAN for music-on-hold. Each switch has its own music source.
